Rule Recipes
Six ready-made setups you can copy. Each lists the exact settings to change. Anything not listed stays at its default. Every setting is explained in the Settings Reference.
Before switching any group to auto-approve, run it in Lead saving only for a day or two, then open the Test rules tab to see who would be approved, declined or left for review.
1. Lead-gen coaching group
Goal: grow an email list from people who join, and only let in people who share their contact details.
Membership questions to add on Facebook:
- What is your best email address? (We'll send you the free training)
- What is your biggest challenge with [your topic] right now?
| Tab | Setting | Value |
|---|---|---|
| Mode | Mode | Lead saving + auto-approve |
| Approval criteria | Answered all membership questions | On |
| Approval criteria | Included an email address | On |
| Approval criteria | Decline people who don't meet the criteria | Off (review them yourself) |
| Messages | Ask to finish answering | On, with a Pre-Approval template asking them to finish the membership questions |
| Messages | Welcome message | On, with a Welcome template, delay 10 minutes |
| Sheets & integrations | Add leads to the sheet as soon as they request to join | On |
| Integrations page | Mailchimp, ConvertKit (Kit) or ActiveCampaign | Connected, event Member Approved |
Welcome template example:
Hi [first_name], welcome to [group_name]! Your free training is pinned at the top of the group. Say hi in the intro post when you get a chance. - [admin_name]2. Local community anti-spam
Goal: keep a neighbourhood or city group free of spam and out-of-area accounts, without messaging anyone.
| Tab | Setting | Value |
|---|---|---|
| Mode | Mode | Lead saving + auto-approve |
| Approval criteria | Decline if answers contain blocked keywords | On |
| Approval criteria | Blocked keywords | crypto, forex, bitcoin, investment, earn money, whatsapp me, dm me |
| Approval criteria | Decline people who were declined before | On |
| Approval criteria | Answered all membership questions | On |
| Approval criteria | Has a complete profile | On |
| Approval criteria | Facebook account age | At least 90 days |
| Approval criteria | Located in | Your city, e.g. Austin |
| Approval criteria | Decline people who don't meet the criteria | Off |
| Messages | All messages | Off |
Blocked keywords and repeat applicants are declined. Everyone who meets the criteria is approved. Anyone else (for example a real neighbour whose city Facebook doesn't show as yours) waits in Pending Requests for you. Location is skipped when Facebook doesn't show a city, so this filter only catches people who show a different one.
3. Course students only
Goal: a private group for paying students. Approve people who name your course, and review everyone else.
Membership questions to add on Facebook:
- What email did you use to buy the course?
- Which program are you enrolled in?
| Tab | Setting | Value |
|---|---|---|
| Mode | Mode | Lead saving + auto-approve |
| Approval criteria | Included an email address | On |
| Approval criteria | Gave specific answers | On: Question 2 contains your course name, e.g. Launch Lab |
| Approval criteria | Decline people who were declined before | On |
| Approval criteria | Decline people who don't meet the criteria | Off |
| Messages | Welcome message | On, with a Welcome template pointing to the course resources |
| Messages | Decline message | Off |
| Integrations page | Webhook | Optional: event Member Captured to Zapier, Make or n8n to check the email against your student list |
"Gave specific answers" checks that the answer contains your text, not that the person actually bought the course. If you need a hard check, keep the decline toggle off and compare the captured email with your student list before approving the rest.
4. B2B network
Goal: a professional community where every member becomes a CRM contact, and low-effort applications wait for review.
Membership questions to add on Facebook:
- What is your work email?
- What company do you work for and what is your role?
- What do you hope to get from this group?
| Tab | Setting | Value |
|---|---|---|
| Mode | Mode | Lead saving + auto-approve |
| Approval criteria | Answered all membership questions | On |
| Approval criteria | Included an email address | On |
| Approval criteria | Has a complete profile | On |
| Approval criteria | Minimum total answer length | 80 characters |
| Approval criteria | Minimum lead score | 50 |
| Approval criteria | Facebook account age | At least 1 year |
| Approval criteria | Decline people who don't meet the criteria | Off |
| Messages | Welcome message | On, delay 30 minutes |
| Integrations page | HubSpot | Connected, event Member Approved |
A member with an email (+30), all questions answered (+10) and an average answer length over 50 characters (+10) already reaches 50. See the lead score table.
5. High-volume capture-only
Goal: a large group where you want every lead in a spreadsheet and your email tool, but you keep approving on Facebook yourself.
| Tab | Setting | Value |
|---|---|---|
| Mode | Mode | Lead saving only |
| Mode | Check for new join requests every | 15 minutes |
| Sheets & integrations | Google Sheet | Your sheet, shared with the service account and verified |
| Messages | All messages | Off |
| Integrations page | Email tool or webhook | Event Member Captured |
In Lead saving mode every request is written to the sheet when captured, and GroupCRM never approves, declines or messages anyone, so the action and message limits don't come into play. Approve in bulk on Facebook as usual. Requests you handle on Facebook show as Handled on Facebook in GroupCRM.
6. Cautious first week
Goal: start slowly on a new setup or a Facebook account that recently had a security check.
Days 1 to 3: Lead saving only.
| Tab | Setting | Value |
|---|---|---|
| Mode | Mode | Lead saving only |
| Mode | Check for new join requests every | 30 minutes |
Day 4 onwards: after checking the Test rules tab, switch to auto-approve with a small set of criteria.
| Tab | Setting | Value |
|---|---|---|
| Mode | Mode | Lead saving + auto-approve |
| Approval criteria | Answered all membership questions | On |
| Approval criteria | Decline if answers contain blocked keywords | On, with your spam words |
| Approval criteria | Decline people who don't meet the criteria | Off |
| Messages | Welcome message | On, delay 15 minutes |
| Messages | Decline message | Off |
Global safety limits (Settings → Automation safety) for the first week:
| Setting | Value |
|---|---|
| Daily message limit | 10 |
| Hourly action limit | 20 |
| Daily action limit | 60 |
| Run all day (24/7) | Off, 8:00 AM to 10:00 PM |
Raise the limits gradually once everything runs smoothly for a week. If Facebook shows a security check, automation pauses for 12 hours on its own. See Troubleshooting.
